Privacy Policy
How we handle personal information on the corporate website.
Effective date: 9 October 2026
This corporate website privacy notice is distinct from the policies governing individual Voltbase products.
1. Introduction
Voltbase Software Ltd ('Voltbase', 'we', 'us' or 'our') respects the privacy of individuals visiting our corporate website or contacting us. This notice explains our use of personal information under the UK GDPR and Data Protection Act 2018. It applies primarily to www.voltbase.software, corporate enquiries, early-access registrations, news and related information services. Separate Voltbase products and websites may publish their own privacy notices.
2. Who we are
Voltbase Software Ltd, company number 17270158, is the data controller for its own corporate website operations. Registered office and correspondence address: Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA, United Kingdom. Email: info@voltbase.software.
ICO registration: Voltbase Software Ltd is registered with the Information Commissioner's Office under reference ZC254643.
3. Information we collect
Depending on your interaction with us, we may collect your name, contact details, company, job title, enquiry contents, brand or product interests, early-access registration details, recruitment correspondence, business enquiries and communication preferences. We may also process IP addresses, browser and device information, requested pages, security logs, error details, cookie choices and consented analytics information. Information from external business sources may be used where lawful and relevant.
4. Purposes and lawful bases
We respond to enquiries and manage partnerships based on legitimate interests or steps requested before a contract; register early-access interest based on legitimate interests or consent where appropriate; operate and protect the website based on legitimate interests and applicable legal duties; keep required records under legal obligation; and use Google Analytics 4 with optional analytics consent. Optional electronic marketing will be sent only where permitted under PECR and an applicable UK GDPR lawful basis. General enquiries do not automatically enrol you in marketing.
5. Early-access registrations
If you register interest in a product under development, we use the information to record that interest, answer requests and contact you about relevant opportunities you have requested. A registration does not guarantee product access or a release date. Ongoing marketing updates, where offered, will have a separate applicable permission or lawful basis.
6. Analytics and cookies
Google Analytics 4 (measurement ID G-C7HGPLSK9H) is configured on this corporate website. Its analytics script is loaded only after you choose to accept optional analytics. If accepted, Google may process page views, usage events, approximate location, browser and device details and referral information. We do not intentionally send form contents, email addresses or other direct contact details as analytics events. You may withdraw consent using Cookie preferences in the website footer. See our Cookie Policy for further details.
7. Sharing and service providers
We do not sell personal information to data brokers. Depending on your interaction, personal information may be processed by Netlify (hosting and form submissions), our email and communication providers, and Google when you accept optional analytics. GitHub and Pages CMS are used to manage and publish website content; they are not intended to receive visitor enquiry form contents as part of news publishing. Professional advisers and competent authorities may receive information where appropriate or legally required. Where processors act on our behalf, appropriate contractual and organisational safeguards will apply.
8. International data transfers
Some providers may access or process information outside the UK. Where restricted international transfers occur, we use a valid adequacy arrangement or appropriate safeguards such as the UK International Data Transfer Agreement or UK Addendum where applicable, together with any required risk assessments and additional protections. Details may be requested from us.
9. Retention
We keep personal information only for as long as reasonably necessary for the purposes described and any applicable legal, security or contractual requirements. The relevant period depends on the nature of an enquiry, early-interest registration, recruitment correspondence or other interaction. Forms stored by Netlify and any copies forwarded to email are subject to the retention and deletion controls of those services and our own handling arrangements. Consent preferences may remain in your browser until changed or browser data is cleared. You may ask about the applicable retention period or request deletion at info@voltbase.software, subject to legal exceptions. We will review and document operational retention schedules rather than invent a single period for every category.
10. Security
We apply proportionate technical and organisational controls, including restricted access, appropriate service-provider arrangements, secure administration and encryption in transit where supported. We review these controls as our services evolve. No internet system can be guaranteed completely secure.
11. Your rights
Depending on the circumstances, you may ask to access, correct or erase your data, restrict processing, object to processing, receive portable data where applicable, withdraw consent, and exercise rights regarding qualifying solely automated decisions. You may object to direct marketing at any time. Contact info@voltbase.software; reasonable identity verification may be required. We respond within applicable statutory time limits.
12. Complaints
You may complain directly to the UK Information Commissioner's Office (ICO) at ico.org.uk; you do not have to contact Voltbase first. We welcome the opportunity to resolve privacy concerns if you choose to contact us.
13. Children and external websites
The corporate site is primarily intended for professional audiences and we do not intentionally collect children's information through corporate enquiry forms. Separate educational materials and other brand sites may have their own privacy arrangements. External websites linked from this site operate under their own privacy notices.
14. Automated decisions
We do not currently intend to make solely automated decisions using information collected through this corporate website that produce legal or similarly significant effects on individuals. If this changes, additional information and safeguards will be provided.
15. Changes to this policy
We may revise this notice as our services, providers or legal obligations change. Where applicable we will notify individuals or request fresh consent before materially different processing. The effective date appears above.
